Declaration on the duty to provide information

The protection of your personal data is very important to us. We therefore process your data exclusively on the basis of the statutory provisions (GDPR, TKG 2003). In this privacy policy, we inform you about the most important aspects of data processing within the framework of our website.

1. Contacting us

If you contact us via the form on the website or by email, the data you provide will be stored by us for the duration of the entire business relationship and beyond, in accordance with the statutory storage and documentation obligations, for the purpose of processing the inquiry and in case of follow-up questions. We will not pass on this data without your consent.

2. Cookies

Our website uses so-called cookies. These are small text files that are stored on your device with the help of your browser. They do not cause any damage.

We use cookies to make our website user-friendly. Some cookies remain stored on your device until you delete them. They enable us to recognize your browser the next time you visit.

If you do not want this, you can set your browser to inform you about the setting of cookies and only allow this in individual cases.

If you deactivate cookies, the functionality of our website may be restricted.

2.1 Cookie management: Borlabs Cookies Plugin

This website uses a “cookie consent” plugin called “Borlabs Cookie Plugin,” provided by Borlabs GmbH, Hamburger Str. 11, 22083 Hamburg. It is a tool that enables us to display a cookie notice (“cookie banner”) and integrate cookies in a KDG-compliant manner via opt-in when using external services. This means that cookies that are not technically necessary are only set once you, as a website visitor, give us your consent. To do this, when you visit our website, you will be asked in a cookie banner to select which cookies may be set (consent).
This sets technically necessary cookies to store your cookie consent.

No personal data is processed during the cookie consent process; only the consent you gave when you entered the website is stored. If you wish to revoke this consent, simply delete the cookie in your browser. When you re-enter/reload the website, you will be asked again for your cookie consent.

3. Contact form and online data processing

For the purpose of fulfilling contracts or orders (registrations, sign-ups), as well as for sending our newsletter, we store the data collected in the respective form: name, company, address, email addresses, telephone number, and product-related registration information (such as ticket type or submission category). The data you provide is necessary for the fulfillment of the contract or for the implementation of pre-contractual measures.

Data storage and transmission to our IT service providers or website support is carried out in compliance with the GDPR. Data is not transferred to other third parties.

We store your data for the duration of the entire business relationship and beyond in accordance with the statutory storage and documentation obligations.

3.1 Data storage via our contact form

For security reasons, we store transmitted information on our website in compliance with the General Data Protection Regulation. This data is automatically deleted after 90 days.

3.2 Google ReCaptcha

We use the Google service reCaptcha to determine whether a human or a computer is making a particular entry in our contact or newsletter form. Google uses the following data to check whether you are a human or a computer: IP address of the device used, the website you are visiting and on which the captcha is integrated, the date and duration of the visit, the identification data of the browser and operating system type used, Google account if you are logged in to Google, mouse movements on the reCaptcha areas, and tasks in which you must identify images. The legal basis for the data processing described is Art. 6 (1) lit. f of the General Data Protection Regulation. We have a legitimate interest in this data processing in order to ensure the security of our website and to protect ourselves from automated entries (attacks).

3.3 Smash Balloon Instagram Feed Pro

We integrate content from the social network Instagram (operator: Meta Platforms Ireland Ltd.) on our website via the “Smash Balloon Instagram Feed Pro” plugin. Without your consent, the plugin is used in a special GDPR mode in which only local images are loaded from our website and not from Instagram.

If you agree to the use of the plugin in the cookie settings, data such as your IP address, browser information, and date/time may be transmitted to Instagram. For the purpose of performance optimization, images and posts are temporarily stored on our server (caching).

The integration is based on Art. 6 (1) lit. f GDPR (legitimate interest in online presence). The legal basis for data transfer to Meta is usually consent (Art. 6 (1) lit. a GDPR), provided that you actively load the content. 4. Server logs and protocols

4.1 Web server

Our server logs the following information: the date and time of the website visit, the browser type, the operating system, and the user’s IP address.

We use this data exclusively for technically necessary purposes, i.e. to provide our services and to protect ourselves from potential attacks. This data is stored for 1 month and then deleted.

4.2 Email log

We also store the emails sent from the website in a log for technical diagnosis and assistance with any problems that may arise. This also applies to emails sent by users via our forms. We store additional technical information about the information processed in the respective form: email header, character set, content encoding, trigger for sending, and the exact time. The email log is automatically deleted after 6 months.

5. Analysis tools

Tracking tools: General information

When you visit our website, your usage behavior may also be statistically evaluated. This is done primarily with cookies and so-called analysis programs. The analysis of your usage behavior is usually carried out anonymously by pseudonymizing or anonymizing your IP address; your usage behavior cannot be traced back to you. You can object to this analysis or prevent it by not using certain tools. You will find detailed information on this in the following points.

5.1 Cabin Analytics

We use the privacy-first web analytics tool “Cabin.” The tool does not store any personal data, but only technical measurement points regarding time, source, country, browser/device/operating system, language, bounce rate, UTM parameters, and any interactions triggered on the website.

Provider: The tool is provided by Normally Ltd, 48-50 Scrutton Street, London, EC2A 4HH.

Purpose of use: We use “Cabin” to monitor the functioning of the website and to gain a better understanding of how our online offerings are used. The information obtained enables us to reliably provide and optimize our offerings.

Data collected: No cookies are used and no personal data is stored.

Personal identification, whether physical, physiological, genetic, mental, commercial, cultural, or social, is not possible either directly or indirectly from the data collected. The data collected is used exclusively for statistical analysis and to improve the website.

The following information is stored each time a page is viewed:

  • Time
  • Source
  • Country
  • Browser/device/operating system
  • Language
  • Bounce rate
  • UTM parameters
  • If configured on the specific page, triggered interactions (e.g., clicking a button) are recorded.

Legal basis: The tool does not use cookies and does not store any personal data.

6. Content management system (WordPress)

Our site uses the open source content management system “WordPress,” which processes the following data:

Media

Registered users (e.g., section leaders) have the option of uploading photos and other media to this website. Metadata from these photos is transferred to the content management system, such as EXIF GPS locations.

Comments, user accounts

This website is equipped with a comment system, which is not in use at the time of writing this document. When using this feature, the data displayed in the comment form is collected to enable this. We also store the visitor’s IP address and user agent string (browser identification) to help detect spam.

Gravatar service

An anonymized string (also called a hash) may be created from your email address and provided to the Gravatar service (operated by Automattic Inc., 60 29th Street #343, San Francisco, CA 94110, United States of America) to check whether you use it.

The Gravatar service’s privacy policy can be found here: https://automattic.com/privacy/. Once your comment has been approved, your profile picture will be publicly visible in the context of your comment.

Cookies from the content management system

If you write a comment on our website, this may constitute consent to store your name, email address, and website in so-called cookies (local text files). This is a convenience feature so that you do not have to re-enter all this data when you write further comments. These cookies are stored for one year.

If you have a user account on this website and log in, a temporary cookie is set to determine whether your browser accepts cookies. This cookie does not contain any personal data and is discarded when you close your browser.

When you log in, the website sets up some technical cookies to store login information and display options. Login cookies expire after two days and display option cookies expire after one year. If you select the “Stay logged in” option when logging in, this login will be maintained for two weeks. When you log out of your account, the login cookies are deleted.

When you edit or publish an article, an additional cookie is stored in your browser. This cookie does not contain any personal data and only refers to the post ID of the article that was just edited. The cookie expires after one day.

If you request a password reset, your IP address will be used and sent in the reset email.

7. Your rights

You have the right to information, correction, deletion, restriction, data portability, revocation, and objection. In Austria, this is the Data Protection Authority.
